1. Who We Are (Data Controller)

2. Information We Collect

• Account information. Your email address and, if you sign in with a third-party provider, the basic profile that provider shares with us. Passwords are stored in hashed form by our authentication provider; we never see them in plain text.
• Learning activity. Courses you open, lessons completed, quiz and exam answers, check-in records, saved words and progress data, so the platform can track your learning.
• Content you submit to AI features. If you use the AI name generator or similar tools, the text you enter (for example a surname, date or preference) and the generated result are sent to and processed by our AI service provider.
• Audio recordings (optional). If you use pronunciation or speaking practice, your voice recording is sent to our speech recognition provider to produce feedback. These features only run when you actively start them.
• Purchase information. Which plan you bought, order status, and the email used at checkout. We do not receive or store your full card number — card details are entered directly with our payment partner.
• Technical data. IP address, browser and device type, pages visited and error logs, used for security, fraud prevention and keeping the Service running.
• Communications. Messages you send us by email or WhatsApp, so we can answer you.

We do not knowingly collect sensitive personal data, and we do not sell your personal information to anyone.

3. Why We Use It

• to create and secure your account, and give you access to what you paid for;
• to deliver lessons, track progress and provide certificates;
• to process payments, issue receipts and handle refunds;
• to operate AI and speech features you choose to use;
• to answer support requests and notify you about important service changes;
• to detect abuse, prevent fraud and protect the Service;
• to understand in aggregate how the Service is used, so we can improve it.

Where the GDPR or similar laws apply, we rely on: performance of a contract (providing the Service you paid for), legitimate interests (security, fraud prevention, service improvement), consent (optional features such as audio recording), and legal obligation (tax and accounting records).

4. Who We Share It With

We share personal information only with service providers that help us run the platform, and only as far as needed:

• Our Merchant of Record / payment processor — to take payment, issue receipts, calculate taxes and handle refunds and disputes;
• Cloud hosting and database providers — to store your account and learning data;
• AI and speech processing providers — to generate results for the AI features you use;
• Bot-protection and security providers — to prevent automated abuse;
• Email delivery providers — to send account and receipt emails.

We may also disclose information if required by law, or to protect our rights and the safety of our users.

5. International Transfers

We are based in China and use service providers located in other countries, so your information may be processed outside your country of residence. Where required, we rely on appropriate safeguards such as standard contractual clauses offered by our providers.

6. How Long We Keep It

• Account and learning data — while your account is active, and for up to 12 months after you ask us to close it, so we can handle any follow-up.
• Payment and tax records — as long as tax and accounting law requires, which may be several years.
• Audio recordings — processed to produce feedback and not retained beyond that purpose.
• Support messages — up to 24 months, so we can follow up on the same issue.

7. Your Rights

Depending on where you live, you may have the right to:

• access a copy of the personal data we hold about you;
• correct information that is inaccurate or incomplete;
• delete your account and personal data, subject to records we must keep by law;
• receive your data in a portable format, or ask us to transfer it;
• object to, or ask us to restrict, certain processing;
• withdraw consent at any time for features based on consent;
• lodge a complaint with your local data protection authority.

To exercise any of these, email support@chiname.net. We will respond within 30 days. You can also delete your own account from your profile page.

8. Cookies and Local Storage

We use cookies and browser local storage to keep you signed in, remember your preferences (such as language and speech settings), and keep the platform secure. We do not use cookies to build advertising profiles or to sell data to advertisers. You can clear cookies in your browser settings, though signing in will then require your credentials again.

9. Children

The Service is not directed at children under 13, and we do not knowingly collect personal data from them. If you are under 18, please use the Service with the involvement of a parent or guardian. If you believe a child has provided us with personal data, contact us and we will delete it.

10. How We Protect Your Data

Data is transmitted over encrypted connections (HTTPS) and stored with access controls on our systems and those of our providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we limit collection to what we actually need, and restrict access to it.

11. Changes to This Policy

We may update this policy. The version published on this page, with the effective date shown above, is the version in force. Material changes will be notified to registered users by email.
